How we collect, use, share, and protect information

Important. CloudCam iQ provides fleet technology (dash cameras, GPS tracking, telematics, and connectivity) primarily to businesses. In most deployments, the business customer (your employer or fleet operator) controls the account and decides how the service is used.

1 Who We Are

This Privacy Policy describes how CloudCam iQ (“CloudCam iQ,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with our websites, products, services, software, mobile/desktop applications, and related support (collectively, the “Services”).

2 Scope: Business Accounts & Drivers

Our Services are typically provided to a business customer (“Customer”) such as a fleet operator. The Customer is generally the “controller” of data in the account and may decide: what devices are installed, what features are enabled, how long information is retained, and who has access.

If you are a driver, employee, contractor, or other end user, please direct privacy questions (including access/deletion requests) to the Customer first, since the Customer controls most account settings and data handling.

3 Information We Collect

Depending on how the Services are configured, we may collect the following categories of information:

  • Account Information: company name, billing address, admin contact(s), email, phone number, user credentials, and account settings.
  • Billing & Payment Information: payment method type, transaction records, invoices, and subscription status (note: payment details may be processed by third-party payment processors).
  • Device & Vehicle Data: device identifiers, IMEI/ICCID (SIM), vehicle identifiers (VIN/unit number), installation metadata, firmware/app versions, diagnostics signals, and system health.
  • Location / GPS Data: vehicle location, speed, heading, routes, timestamps, and trip events when GPS tracking is enabled.
  • Video / Audio / Sensor Data: video footage, images, event clips, audio (if enabled), and sensor/telemetry data (e.g., G-force events, harsh braking/acceleration, collisions) depending on device configuration.
  • Usage & Log Data: access logs, feature usage, IP address, browser type, app activity, and diagnostic logs.
  • Support & Communications: emails, phone calls, messages, tickets, chat logs, and files you provide to support.
  • Website Data: cookies and similar technologies (see “Cookies & Analytics” below) when you visit our website.
Note: Features vary by hardware model and configuration. Your Customer controls whether certain data types (e.g., audio, inward-facing video) are enabled.

4 How We Use Information

We use information to:

  • Provide, operate, and maintain the Services (including device provisioning, connectivity, and platform functionality)
  • Support installations, troubleshooting, and customer service
  • Process transactions, invoices, AutoPay, and account administration
  • Improve performance, reliability, and product features; develop new offerings
  • Secure the Services, prevent fraud, detect misuse, and enforce terms/agreements
  • Comply with legal obligations and respond to lawful requests
  • Communicate with account admins about service updates, security notices, and operational messages
  • Send marketing communications where permitted (you can opt out—see “Your Choices”)

5 Legal Bases (Where Applicable)

Where required, we process information based on one or more legal bases such as: performance of a contract, legitimate interests (e.g., service security and improvement), compliance with law, and/or consent (for certain marketing or optional features).

6 How We Share Information

We may share information with:

  • The Customer (Account Owner): authorized administrators and users within the business account.
  • Service Providers: vendors that help us operate the Services (e.g., hosting, payment processing, analytics, customer support tools, communications, installation partners), subject to confidentiality and security obligations.
  • Connectivity / Carrier Partners: cellular and network partners involved in providing data connectivity and device provisioning.
  • Legal / Safety: when required by law, subpoena, court order, or to protect rights, safety, and security.
  • Business Transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets (with appropriate protections).

We do not sell personal information in exchange for money.

7 Data Retention

We retain information for as long as needed to provide the Services, meet contractual obligations, comply with legal requirements, resolve disputes, and enforce agreements. Retention periods vary based on the Customer’s configuration, storage plan, and applicable law.

Video and event data retention is typically governed by Customer settings and the chosen service plan. If you are an end user (e.g., driver), please contact the Customer regarding retention.

8 Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. However, no system can be guaranteed 100% secure.

9 Your Choices & Requests

Account Admins: Admins can manage users, roles, settings, and certain retention controls within the platform.

Marketing Opt-Out: You may opt out of promotional emails by using the unsubscribe link in the email or by contacting us.

Access/Deletion Requests: If you are a driver/end user, requests should be directed to the Customer (account owner) first. If you are the Customer or authorized admin, you may contact us at privacy@cloudcamiq.com.

10 Cookies & Analytics (Website)

Our website may use cookies and similar technologies to operate the site, remember preferences, understand traffic, and improve performance. You can control cookies through your browser settings. Disabling cookies may impact certain site features.

We may use analytics tools (e.g., site analytics) to understand how visitors use the site. These tools may collect IP address, device/browser type, pages visited, and time spent.

11 Children’s Privacy

Our Services are not directed to children under 13 (or the applicable minimum age in your jurisdiction), and we do not knowingly collect personal information from children.

12 International Transfers

If information is processed outside your state or country, we take steps designed to ensure an appropriate level of protection consistent with applicable law.

13 Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Effective Date” and may provide additional notice where required.
